Data Deletion Instructions
Last updated: October 25, 2026
1. Overview
This page explains how to request deletion of your personal information from Firewood Tracker, in accordance with Quebec's Law 25 and Canada's PIPEDA. It is also published to satisfy Meta Platforms, Inc.'s requirement that any application using Facebook Login publish clear data deletion instructions for its members.
2. What Gets Deleted
When your account is deleted we remove: your member profile (email, first name, nickname, hashed password, preferences), your Facebook sign-in links (encrypted token and associated Meta user id), your two-factor setup and sessions, your locations, woodstoves and heating prices, your firewood stacks, photos and fire logs, your burn predictions and notifications, your chat messages, images, reactions and blocks, your kindling and rings balances and ledgers, your giveaway entries for draws not yet held, your account verification and selfie, your Embertide game, and your business team memberships. Kept without your name or email, because others rely on them: your orders with sellers (their accounting; the delivery address and note you entered are erased), the customer record a seller keeps for you (only the link to your account is removed), your entries in giveaways already drawn (so the draws stay verifiable), referral credit, and security records. Transaction records and accounting entries must be retained for seven (7) years under Canadian tax requirements; see section 6.
3. How to Request Deletion
Sign in and open Settings → Delete my account. You confirm with a code emailed to your address, plus your password and authenticator code if you use them. If you can't sign in, email [email protected] from the address associated with your account, with the subject line "Deletion request". If you no longer have access to that address, attach a piece of government-issued identification so that we can confirm your identity before acting. We will acknowledge an emailed request within five (5) business days.
4. Disconnecting Facebook Only
If you want to remove only the Facebook sign-in connection (without deleting your account), sign in and open Settings → Security → Disconnect Facebook: the encrypted token and the link to your Facebook account are erased from our records at once. Removing "Firewood Tracker" on Facebook (Settings → Apps and Websites → Remove), or asking Facebook to delete your data, erases them too: Facebook notifies us and we delete them automatically. Your member profile remains active; you can keep signing in with your password or a link sent to your email (use "Forgot your password?" on the sign-in page to set a password).
5. Processing Timeline
A deletion made in Settings deactivates your account at once and signs you out everywhere; it is completed automatically fourteen (14) days later, unless you sign in before then, which cancels it. You receive an email when the deletion is scheduled and when it is done. An emailed request is completed within thirty (30) days once your identity is confirmed. Encrypted backups may contain residual copies for up to ninety (90) additional days; those copies are overwritten on the next retention cycle and are never used to reactivate an account.
6. Data Retained for Legal Reasons
In accordance with Canadian tax requirements, we retain transaction records (amount, date, Stripe identifier, taxes) for seven (7) years, even after account deletion. These records are anonymized as much as possible, name and email are removed and replaced with an internal identifier, and are only accessible to personnel authorized for accounting and audit purposes.
7. Contact
For any question about data deletion or to exercise your rights under Law 25 and PIPEDA, write to our Privacy Officer: [email protected], Firewood Tracker, Quebec, Canada. We commit to responding within thirty (30) days.
